Note: The Set Up Existing Batch action should only be used during DISTILL x 5 Setup or at the recommendation of the Fx5 Support team. This system action is only available during Dx5 System Setup, and for entering details of "in-progress" Batches of spirit which should be considered On-Hand upon Dx5 Federal Report Initialization. More details on Federal Report Initialization in Dx5 can be reviewed here: Reporting: Initialize Books Checklist.
To enter On-Hand spirit Batches into Dx5 upon Dx5 System Setup:
- Navigate to Operations > Setup and click the Set Up Existing Batch button in the upper right corner of the page:
- On the Setup An Existing Batch form, enter the following:
- Setup Date/Time: Depending on when users elect to begin using Dx5 for Federal Reporting (ideally either the current or next month), the Setup Date/Time for Existing Batches should be:
- Current Month Initialization: The last calendar day of the previous month, or earlier. If the actual Date/Time the Existing Batch entered the current DSP Account (Production, Storage or Processing) is known, even better!
- Next Month Initialization: The Date/Time of user's Dx5 Custom Setup session to represent virtual distillery setup date.
- Earlier or later Initialization: Choose from one of the above options or contact Fx5 Support for guidance.
- Batch Name/Num: users can use any on-site naming/numbering convention they like to identify the Setup Batch. If no on-site convention is currently used, feel welcome to format using a variation of one the following example options:
- "Dx5 Setup Batch 1 - Bourbon" (to represent spirit type + Setup Batch status)
- "20220601-Vodka Tails" (to represent Setup Date + spirit type).
- Batch Type: users should select the Dx5 Batch Type created to identity and federally report this liquid.
- If the appropriate Batch Type is not available in the drop-down menu, follow the guidance in this resource to build the Dx5 Batch Type first: Setup: Create New Batch Type (Video).
- Destination Stage: select appropriate DSP Account/Operational Stage where the liquid is currently residing.
- If the appropriate Destination Stage is unavailable, head into Operations > Setup > Batch Types and enable the selected Batch Type for use in the missing stage.
- Destination Vessel: select the Vessel the liquid is currently residing in from the drop-down list of available options.
- If the appropriate Vessel is unavailable in the list, head into Operations > Setup > Batch Types and enable the desired Vessel in the Destination Stage selected on the Setup Existing Batch form.
- Setup Volume / Volume Unit: Enter the current Gauge Results for the liquid in Volume. Setup Volume requests the numerical value of your Gauge (50, 100, etc) and Volume Unit requests the Unit of Measurement used in the Gauge (Gal, L, etc.)
- If users Gauge by Weight, they should enter their Weight results into Dx5's Spirit Volume by Weight Calc in the upper right corner of their Dx5 system to retrieve their volume for this form:

- Alc. Content / Unit: Enter the Gauge Results for Alcohol Content. Alc. Content requests the numerical value of your Gauge, and Unit requests a selection of either Proof or ABV to align with your Gauge.
- Batch Cost: The Batch Cost field will only appear in Dx5 Batch Costing-enabled systems. If known, enter the total value of this Setup Batch of liquid into this field. If unknown, enter $0; users can always update a Batch Cost later by following the steps in this article: Operations: Set New Batch Cost.
- Setup Date/Time: Depending on when users elect to begin using Dx5 for Federal Reporting (ideally either the current or next month), the Setup Date/Time for Existing Batches should be:
- Review required details for accuracy, and click Setup Existing Batch to complete the form.
